PropManager’s reporting suite turns your rent collection and expense data into clear financial documents you can use to manage your portfolio, prepare for tax season, or share with investors and accountants. Reports draw on real-time data — every payment processed and every fee applied is reflected immediately — so you’re always working with accurate numbers.
Report data updates in real time as payments are processed and expenses are recorded. There is no need to manually refresh or re-run a report to capture recent transactions.

Available Report Types

Income Statement

Shows rental income versus expenses broken down by property. Use this to evaluate profitability at the property or portfolio level over any date range.

Cash Flow Summary

Displays all money in and money out over a selected period. Useful for understanding actual liquidity separate from accrual-based income.

Rent Roll

Lists every active lease across your portfolio with unit details, tenant name, lease start and end dates, and current monthly rent. Use this as a portfolio snapshot.

Late Fee Report

Tracks all late fees that have been charged and shows which have been collected versus which remain outstanding.

Security Deposit Summary

Shows the deposit amount held for each unit, the date it was received, and whether any portion has been applied or refunded.

Expense Tracking

Breaks down all recorded expenses by category (repairs, utilities, insurance, etc.) so you can see where money is going across your portfolio.
Run the Rent Roll report at the start of each month to spot leases expiring in the next 60–90 days. Reaching out to tenants early about renewal gives you time to avoid costly vacancies.

Running a Report

Go to Reports

Click Reports in the main navigation menu. The Reports page lists all available report types with a brief description of each.

Select a Report Type

Click the report you want to run. This opens the report configuration panel.

Set Your Filters

Choose your date range using the start and end date pickers. Then select a property filter — choose All Properties for a portfolio-wide view, or select one or more specific properties to narrow the scope. Some reports (like the Rent Roll) don’t require a date range and will default to current data.

Generate the Report

Click Generate Report. PropManager compiles the data and displays the report on-screen within a few seconds. Larger portfolios with extensive transaction histories may take slightly longer.

Export or Save

Use the export buttons at the top of the report to download it as a PDF (formatted for printing or sharing) or CSV (for import into spreadsheets or accounting software). You can also click Save View to bookmark the current filter configuration for quick access later.

Scheduling Recurring Reports

Instead of running reports manually each month, set up automatic delivery on a recurring schedule.
  1. Run the report with your preferred filters.
  2. Click Schedule Delivery at the top of the report.
  3. Choose a frequency — Monthly or Quarterly.
  4. Set the delivery date (e.g., the 5th of each month, giving time for the previous month to fully close).
  5. Enter one or more email addresses to receive the report.
  6. Click Save Schedule.
Recipients receive a PDF of the report by email on the configured date. You can manage or delete existing schedules from Reports > Scheduled Reports.

PropManager can sync your financial data directly with external accounting platforms, eliminating manual data entry and keeping your books up to date automatically.
